Confluence Publishing Workflows are coming to Capable!
We're thrilled to announce a game-changing feature coming soon to Capable for Confluence: Publishing Workflows — a seamless extension of our industry-leading approval system. This upcoming feature helps you turn draft content into published, polished knowledge with confidence and structure.
🚀 From Chaos to Clarity: A Real-World Use Case
Let’s say your IT team is building out internal setup guides for new hires. You don’t want half-written or outdated pages sitting live in your knowledge base. Instead, you want a structured review process that keeps content accurate and trustworthy.
With Capable Publishing Workflows, your team starts in a private "Knowledge Drafts" space. Writers create documentation there — onboarding guides, email setup instructions, VPN access how-tos. Once the page is ready, it enters your customized approval workflow. Your designated reviewers get notified, leave feedback, and either approve or request changes.
Once approved, the page is automatically published into a public-facing "Knowledge Base" space. It’s now clean, verified, and ready to be consumed by your wider organization.
No copy-pasting. No uncertainty. Just a seamless flow from idea to published page.
🔧 Configure Once, Publish with Confidence
Publishing Workflows are designed to be flexible and easy to manage. Space admins can configure everything:
- Choose default approvers and minimum approval thresholds
- Set a publishing destination (space and parent page)
- Allow or restrict manual publishing
- Automatically publish on approval or schedule it with expiry dates
It puts content governance in your hands, without slowing your team down.
✅ All the Power of Capable Approval
This feature is built on the robust foundation of Capable Approval — our battle-tested approval engine trusted by teams managing documentation at scale.
Every approval is tracked and version-aware, with built-in commenting for context. Approvals can expire or be rejected, and you can see a full history of what's changed over time. The publishing feature simply adds the next logical step: moving reviewed content to where it needs to live.
🌐 Perfect for Knowledge Bases and Public Docs
We know how often teams rely on tools like Jira Service Management, Scroll Viewport, and Refined to surface knowledge to end users. Publishing Workflows are built to support these use cases and will integrate seamlessly.
Now, your help docs, how-to guides, and IT instructions can go through a trusted editorial workflow before being published where your users expect to find them.
🔎 Integrates with Capable Search
Capable Approval and Publishing works hand-in-hand with Capable Search to give teams complete visibility and control over their content lifecycle. Thanks to this integration, you can instantly find Confluence pages based on their approval status, scheduled or published dates, and more—directly within the Capable Search interface.
Want to build a dashboard of approved content or highlight only what's ready for publishing? Use the Capable Search Results macro to embed filtered results into any Confluence page. Whether you're surfacing drafts awaiting sign-off, recently approved posts, or time-sensitive pages scheduled for release, it's all just a filter away. This powerful combination helps teams stay aligned, cut through the noise, and keep the right content front and center.
✨ Launching Soon
We're in the final stages of development, and Publishing Workflows will be available very soon. If you're excited to try it, let us know!
With this addition, Capable becomes a true end-to-end content management system for Confluence teams: write, review, approve, publish.
Stay tuned for launch day — and thank you for helping us build the future of Confluence workflows!
